How Transera Group Ltd. collects, uses, retains, and protects your personal information — designed to comply with Canadian PIPEDA (Personal Information Protection and Electronic Documents Act) and CASL (Canada’s Anti-Spam Legislation).

1. Who We Are

Transera Group Ltd. (“Transera,” “we,” “our,” “us”) is a privately held Ontario corporation providing owner-side electrification advisory and EPCM coordination services. We operate the website www.transeragroup.com and related online tools.

This Privacy Policy describes how we collect, use, retain, disclose, and protect personal information about visitors to our website, prospective clients, current clients, partners, and other contacts. We are committed to protecting personal information in accordance with applicable Canadian privacy laws.

2. Personal Information We Collect

Information you provide voluntarily

  • Contact information: Name, organisation, email address, phone number, and any details you provide via our contact form, booking flows, or direct correspondence.
  • Engagement information: Details about your electrification program, site information, business context, and any documents you share to support an advisory engagement.
  • Payment information: When you book a paid engagement, payment details (credit card, billing address) are collected and processed by our payment processor (Stripe). Transera does not store full credit card numbers; only the last four digits and a transaction reference.
  • Booking data: Calendar information, meeting preferences, and any responses to pre-engagement questions, processed via Microsoft Bookings.

Information collected automatically

  • Technical data: IP address, browser type, device identifiers, operating system, referring URL, and pages visited — collected through standard web server logs.
  • Cookies and similar technologies: See Section 5 for details.
  • Analytics data: Aggregated, anonymized usage patterns. Transera does not currently use third-party analytics that would individually track visitors across sessions.

3. How We Use Personal Information

Transera uses personal information for the following purposes only:

  • To respond to inquiries submitted through our contact form, email, phone, or LinkedIn.
  • To deliver advisory services when you engage Transera, including communicating about your engagement, sharing deliverables, and processing payments.
  • To provide booking services — scheduling, sending calendar invites, and operating Microsoft Bookings.
  • To improve our website — understanding how visitors navigate our site to make it more useful.
  • To comply with legal and regulatory obligations — including tax records (Canada Revenue Agency), professional registrations (ECRA/ESA), and applicable Canadian laws.
  • To send commercial electronic messages only to recipients who have provided express or implied consent under CASL (see Section 4).

We do not use personal information for purposes beyond those described, and we do not sell, rent, or trade personal information to third parties.

4. CASL Compliance — Commercial Electronic Messages

Transera complies with Canada’s Anti-Spam Legislation (CASL). We send commercial electronic messages only when:

  • You have provided express consent (e.g., subscribed to a newsletter, opted in via a form);
  • You have provided implied consent through an existing business relationship (e.g., you are a current client or have inquired about our services within the past 6 months); or
  • The communication is exempt from CASL (e.g., a transactional message confirming a booking you made, or a reply to your inquiry).

Every commercial electronic message from Transera identifies the sender, includes accurate contact information, and provides a clear and functional unsubscribe mechanism. Unsubscribe requests are honoured within 10 business days.

5. Cookies and Similar Technologies

The Transera website uses minimal cookies, which fall into two categories:

  • Strictly necessary cookies: Required for the website to function (e.g., session continuity, security tokens). These are set automatically and cannot be disabled without breaking site functionality.
  • Functional cookies: Remember preferences such as whether you have dismissed the cookie banner. Set only after you interact with the site.

Transera does not use advertising cookies, third-party tracking pixels, or cross-site tracking technologies. We do not currently integrate Google Analytics, Facebook Pixel, or similar tracking tools.

Most browsers allow you to control cookies through their settings. For instructions on managing cookies, refer to your browser’s documentation. Note that disabling strictly necessary cookies may impair website functionality.

6. Disclosure to Third Parties

Transera shares personal information with third parties only in the following limited circumstances:

  • Service providers: Trusted vendors who process information on our behalf, including:
    • Microsoft (Microsoft 365, Microsoft Bookings, Microsoft Teams) for email, scheduling, and meetings;
    • Stripe for payment processing;
    • GoDaddy and Cloudflare for website hosting and security;
    • Microsoft Outlook for email correspondence.
  • Engagement partners: When delivering an advisory engagement requires coordination with a Licensed Professional Engineer, electrical contracting partner, or other specialist, we may share relevant project information with that partner under written confidentiality terms.
  • Legal obligations: When required by court order, subpoena, regulatory authority, or law (including Canada Revenue Agency, ECRA/ESA, or other Canadian authorities).
  • Business transactions: In the unlikely event of a sale, merger, or restructuring of Transera, personal information may be transferred as part of the transaction, with notice to affected individuals where required by law.

All service providers are bound by contractual obligations to handle personal information consistent with this policy and applicable law.

7. Data Retention

Transera retains personal information only as long as needed for the purposes for which it was collected, or as required by law:

  • Inquiry data: Up to 24 months from the last contact, unless you become a client or partner.
  • Client engagement records: 7 years from the close of the engagement, consistent with CRA recordkeeping requirements.
  • Payment records: 7 years (CRA tax requirements). Stripe retains transaction data per its own policies.
  • Email correspondence: Up to 7 years from the date of the last correspondence.
  • Website server logs: Up to 90 days, except where retained for security investigation.

When personal information is no longer needed, we securely delete or anonymize it.

8. Cross-Border Data Transfers

Some of our service providers (notably Microsoft, Stripe, and Cloudflare) may store or process data outside Canada, including in the United States or other jurisdictions. By using our website or engaging Transera, you acknowledge that personal information may be subject to the laws of those jurisdictions, including potential government access.

Transera selects service providers committed to data protection standards comparable to PIPEDA. We use contractual safeguards and, where available, regional data residency options.

9. Your Rights Under PIPEDA

As a Canadian resident (or a resident of any jurisdiction with equivalent rights), you have the right to:

  • Access the personal information Transera holds about you;
  • Correct inaccurate or incomplete personal information;
  • Withdraw consent for the use of your personal information at any time, subject to legal or contractual restrictions and reasonable notice;
  • Request deletion of personal information that is no longer required, subject to retention obligations;
  • Lodge a complaint with Transera’s Privacy Officer or with the Office of the Privacy Commissioner of Canada.

10. Security Safeguards

Transera maintains physical, organizational, and technical safeguards appropriate to the sensitivity of personal information, including:

  • Encrypted website connections (TLS 1.2+);
  • Multi-factor authentication on all internal accounts;
  • Encrypted file storage via Microsoft 365 (encryption at rest and in transit);
  • Cloudflare protection against common web attacks;
  • Regular review of access permissions;
  • Confidentiality obligations on all engagement partners.

While we use commercially reasonable measures to protect personal information, no system is perfectly secure. In the event of a privacy breach materially affecting your personal information, we will notify you and the Office of the Privacy Commissioner of Canada as required by PIPEDA.

11. Children’s Privacy

Transera’s services are directed to organizations and business decision-makers, not to children. We do not knowingly collect personal information from individuals under 18 years of age. If you believe a minor has provided us with personal information, contact us at ceo@transeragroup.com and we will promptly delete it.

12. Changes to This Policy

Transera may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. The “Last updated” date at the top of this policy indicates when it was last revised. Material changes will be communicated by email or website notice where practical.

The version of this policy in effect at the time you provide personal information governs how that information is handled.
